Veteran's Leadership Program of Western Pennsylvania is seeking an experienced and passionate professional to serve as their internal expert for grant management, contract administration and accounting support.

Position Overview

Provide financial and administrative management of contracts and grants. Assist in preparing grant material, provide ongoing budget analysis, review grant proposals and contracts, and provide grant accounting, reconciliation, and reporting support. Support the Executive Director, program and development teams with necessary reporting materials for all donor segments and oversee all financial, project/program and grants accounting. Prepare, submit and manage payroll as well as perform month end closing duties.

Essential functions:

  • Monitor cash balances and manage short term cash flow
  • Assist CFO in creating and maintaining the internal control and safeguards for receipt of revenue and expenditures
  • Serve as the point of contract for grant agencies and serve as a liaison for the organization
  • Develop budgets and financial narratives to secure new and ongoing funding in conjunction with the management, program and development staff
  • Coordinate and prepare all annual grant and contract renewals with the organization’s numerous funding venues
  • Prepare grant and contract invoicing and draw down requests and ensure that the contract billing and collection schedule is adhered to
  • Complete grant and contract reconciliation and close outs
  • Develop and coordinate all annual audit schedules in collaboration with the independent accounting firms
  • Assist CFO with month end and year-end financial close and maintains various supporting schedules, reconciliations and documentation
  • Develop specialized budget vs. actual reporting for grants and contracts and work closely with program and development staff to monitor changes and spending
  • Assist the management and Executive Staff with the annual budgeting and planning process
  • Prepare payroll and benefits allocations as well as common cost allocations and make associated entries in the accounting system
  • Manages payroll processing and documentation with external vendor and maintains payroll system files for employees including deductions and other information
  • Reviews employee timesheets for accuracy and compliance with agency and government requirements, including overtime pay
  • Review of monthly, quarterly and annual payroll tax returns, including W2’s and W3
  • Liaise with health, dental, vision, and retirement benefits brokers as well as company insurance coverage
  • Prepares and distributes restricted funding reports on a monthly basis
  • Maintains accounting department hard copy and electronic files
  • Prepares special funding and grant reports for internal management use
  • Assures confidentiality and security of financial data

Education and Experience Requirements

  • Degree in Accounting or Finance required -  MBA or CPA is preferred
  • Minimum of three to five years’ experience as a Controller or an equivalent senior accounting/finance management position
  • Minimum of three to five years successful audit results
  • Minimum of three to five years supervising accounting/financial staff
  • Non-for-profit/fund accounting experience required
  • FBI, Act 33 and 34 clearances
