Position:
Accelerant Law is seeking a Legal Assistant to provide high-quality administrative and client-facing support to ensure the smooth, efficient operation of the Firm’s trust and estate practice. This role serves as a key point of coordination between clients, attorneys, and paralegals, handling communications, meetings, and document preparation with professionalism, discretion, and attention to detail. The Legal Assistant also supports daily office operations to maintain an organized and welcoming environment.


Location:
This role is based in Washington, DC and requires 4 days per week in-office.

Essential Responsibilities:
  • Positively and professionally interact with clients and team members on behalf of the Firm while maintaining strict confidentiality. Monitor visitor access and maintain office security in accordance with Firm policies.
  • Work closely with attorneys and paralegals to support trust administration and estate administration work, including tracking deadlines and ensuring timely completion of assigned tasks.
  • Prepare and send Firm engagement letters, cover letters, signing instructions, and other communications to accompany legal documents, ensuring accuracy, consistency, and proper formatting.
  • Coordinate administrative meeting preparations and onsite meeting support, including preparing meeting packets, printing materials, confirming clients, issuing document copies, and providing hospitality. Coordinate catering requests and manage meeting logistics to ensure a professional client experience.
  • Schedule appointments and assist with other client communications accurately and promptly.
  • Provide general administrative assistance including photocopying, scanning, printing, organizing, and filing legal documents; mailing and shipping; meeting registrations; expense tracking; travel arrangements; and other administrative requests.
  • Manage and maintain master client lists, Firm and client opening procedures, and Firm administrative lists.
  • Create, implement, and manage systems for client documents and information, including organizing and maintaining legal documents in Box and the Firm’s physical vaults. Conform executed copies, create client share folders, and prepare client indices to ensure proper retention within the Firm’s systems.
  • Manage and maintain office inventory systems, office equipment, and kitchen supplies (e.g., food and beverages). Maintain cleanliness of the office with attention to reception, conference rooms, kitchen, and other common spaces.
  • Assist with the preparation of reports and presentations as needed.

  • Ability to support preparation of legal documents and related materials with strict confidentiality.
  • A resourceful self-starter who takes initiative to quickly assimilate and apply new knowledge; comfortable wearing multiple hats and assisting others as needed.
  • Ability to prioritize workload and adapt to changes in a dynamic work environment, effective under pressure and in high-volume situations with multiple priorities and deadlines.
  • Meticulous, organized, self-motivated, practical, and flexible.
  • Strong verbal and written communication skills with the ability to communicate clearly and professionally; open to receiving and giving feedback.
  • Ability to work independently while also developing strong internal and external relationships.
  • Builds trust, honors commitments, and treats all with respect; uses those skills to reach consensus, produce high-quality work, and meet deadlines.
  • Strong aptitude for technology with proficiency in MS Office Suite, Google products, and Clio.
Experience / Education Requirements:
  • Associate or technical degree in business, law, accounting, or administrative support required, bachelor’s degree preferred.
  • Minimum of 3 years of administrative experience in a law firm or other professional services environment required; experience in Trusts & Estates preferred.
  • Experience working with ultra-high-net-worth families and individuals preferred.
  • Demonstrated related experience may be substituted for required education.
Compensation:
The hourly rate range for this role is $28.00 - $32.00, based on relevant experience.
