Client Service Administrator - Real Estate

At Burns Scalo Real Estate, we are seeking a skilled client service professional to join our team. The duties include providing operational and administrative assistance within the facilities department and clients we serve.

Position Responsibilities:

  • Provide administrative support to department for various requests including preparing FedEx mailings, postage and envelopes, faxing, emailing, filing, making copies, scanning docs, generating reports and other administrative related items as requested.
  • Responsible for various administrative related work including, maintenance of request system, purchasing, greeting guests, answering phone calls, tracking and filing contractual documents, etc.
  • Assist with and expand tenant perk program with local businesses.
  • Ensure all certificate of insurance documents are current and on file for all clients and vendors.
  • Ensure all AWA paperwork is completed in a timely manner for each facility technician as they are submitted to the office and update all spread sheets accordingly.
  • Ensure all property service contracts are completed and up to date. Maintain and update tracking sheets accordingly.
  • Ensure that all vendor’s that Management work with have gone through our pre-qualification process and are up to date on payment.
  • Provide assistance as needed to front desk operations to include but is not limited to, answering phones, accepting package and other deliveries, lunchtime relief and greeting and signing in visitors and/or guests.

Position Qualifications:

  • High school diploma/GED required. Associate’s degree in related field preferred. 
  • Minimum of one (1) year of experience in customer service.
  • Experience in commercial real estate leasing or sales experience preferred.
  • Real estate license or willingness to obtain within first year of employment required.
  • Extremely proficient in Microsoft Office Suite.
  • Strong verbal and written communication skills, interpersonal skills and organizational skills.
  • Ability to work independently in a fast-paced, relationship-driven, team environment.
